Data Deletion

You have the right to request deletion of personal data that Trade Pilot AI Limited holds about you in connection with Trade Pilot AI. This page explains what data we may hold, how to request deletion, and what we are required to retain by law.

1. What Data We May Hold

Depending on your interaction with Trade Pilot AI, we may hold:

• Account data — name, email address, business name, and hashed password for staff users.
• Client records — names, phone numbers, email addresses, and property addresses entered by a staff user.
• Project data — quotes, contracts, invoices, measurement photos, and AI renders associated with your account.
• Social media tokens — OAuth access tokens for connected platforms (Facebook, Instagram, TikTok, YouTube, etc.).
• Communications — email log entries and any WhatsApp or Messenger conversations routed through Trade Pilot AI.
• Usage and log data — IP addresses, browser information, and activity logs.

2. How to Request Deletion

Please include:

• The name and email address associated with your Trade Pilot AI account
• Whether you are a staff user (you log in to Trade Pilot AI) or a client (your details were entered by a business using Trade Pilot AI)

We will acknowledge your request within 5 business days and complete the deletion (or provide a written explanation of any retention obligations) within 20 business days.

3. What Happens After a Deletion Request

• Your account and associated personal data will be permanently deleted from our active systems.
• Backup copies are purged within 90 days of the deletion date.
• Any connected social media tokens will be immediately revoked.

4. Data We Are Required to Retain

Certain data must be retained to comply with legal obligations and cannot be deleted on request:

• Financial records — invoices, payments, and contracts may be retained for up to 7 years as required by New Zealand tax law (Tax Administration Act 1994).
• Security and audit logs — retained for up to 12 months for fraud prevention and security monitoring.

Where full deletion is not possible, we will anonymise your personal information so it can no longer be linked back to you.

5. Facebook / Meta Data

If you connected a Facebook Page or Instagram account to Trade Pilot AI, Meta Platforms processes some of your data under their own policies. To request deletion of data held directly by Meta, visit:

Trade Pilot AI does not store Facebook or Instagram user profile data beyond what is required to operate the integration (display name, avatar URL, and OAuth tokens). Tokens are revoked upon deletion.
